Part-time Administrator - Sunart Reserves and Saving Morvern's Rainforest

RSPB Scotland are looking for a dynamic administrator to join our Sunart Reserves and Saving Morvern’s Rainforest team.

This is a Permanent Part-Time role for a 0.4 FTE Administrator, 15 hours per week. The role will be based in Lochaline at our office, with some flexibility to work from home.
What's the role about?
You will provide comprehensive administrative support to our Sunart Reserves and Morvern project team, facilitating the delivery of work programmes and an effective working environment.
You will help develop and improve our systems so that they are effective and ensure staff have the help they require with grant processes and claims, procurement and financial processes, data management, organising and maintaining fleet vehicles, materials and equipment, diary management, facilitating meetings, planning and delivering events.
You will work closely with our Site Manager, Project Manager and local team. You will also work with our Argyll Office Manager, South Scotland Administration Manager, and the RSPB’s IT, Transport, Finance departments to ensure that all office support requirements are carried out to a high standard. You will also represent the RSPB, engaging with stakeholders, partners and the community in a helpful, friendly, and enthusiastic manner.
Essential skills, knowledge and experience:
This role is to provide comprehensive administrative support to the team, facilitating delivery of work programmes and an effective working environment. We need someone to assist us in the management of business information and data held in RSPB systems, across network drives, OneDrive and SharePoint. Working knowledge of Microsoft Office 365 applications will therefore be essential.
We are looking for someone who pays attention to detail but is also able to take a flexible and pragmatic approach. You will be solutions-focused and able to juggle a variety of tasks. You'll be great at building effective relationships with a wide range of people, while ensuring that confidential and sensitive matters are handled appropriately. You will be well organised and able to prioritise your workload effectively to deliver solutions within set timescales. We are looking for a team player with a positive can-do attitude.
Key work Areas:
- Provide comprehensive administration support to the team, including administration of procurement and financial processes, grant funding and claim processes, travel and accommodation, events, organising and maintaining materials and equipment, diary bookings and fleet car administration so that staff and volunteers operate efficiently
- Manage telephone, email and face to face enquiries
- Build and maintain effective relationships
- Undertake the day-to-day coordination of the local office environment
- Assist in the management of business information and data held in RSPB systems
- Support procurement and financial management and reporting processes
Essential Qualifications, Knowledge, Skills and Experience:
- Working knowledge of Microsoft Office applications (especially Outlook, Word, Excel, PowerPoint and Microsoft Teams)
- Knowledge of document management and team collaboration tools
- Proactive approach to problem solving
- Able to communicate and engage effectively with a wide range of audiences
- Able to organise and coordinate meeting or event logistics
- Able to prioritise and delegate tasks effectively, particularly when under pressure from competing priorities
- Experience of working in an office or customer care environment in an administrative role
Desirable skills, knowledge and experience:
- Interest in and knowledge of conservation and the natural world.
Additional Information
This is a Permanent Part-Time role for a 0.4 FTE Administrator, 15 hours per week. The role will be based in Lochaline, initially in our office at the Community Hub, and then at our Tree Nursery Office once established.
