About the role

We have an exciting opportunity for you to join a friendly and approachable regional team, and help us achieve our vision, by leading an effective admin team and providing administration and systems support to senior managers. 

Our team is helping to tackle climate change and create happier and healthier neighbourhoods by making it easier for people to walk and cycle. 

In this role you will support our senior managers with admin support to guide resource planning, project management and performance tracking, by helping to create and maintain our systems in Smartsheets, Excel, CRM and GIS. 

As Senior Administration Officer, you will provide line management to our small but effective admin team, ensuring that a good level of admin support is provided to the wider regional team.

You will also operate as office manager for our Sustrans Nottingham Hub – one of three Hubs in our Midlands & East region. You will oversee health and safety of the office, liaise with the landlord and equipment suppliers, and ensure the office is kept well stocked. You will be the go-to person for enquiries related to working in our Nottingham Hub, and will field enquiries and correspondence from members of the public. 

A key element of this role is to provide PA support to the Director for England Midlands and East, managing the Director’s diary, arranging meetings and scheduling activity through proactive planning to ensure time is available for meeting preparation, forward planning and reactive tasks.

This role will be primarily based in our Nottingham Hub, with occasional travel for meetings and events. Candidates should be based within commutable distance of Nottingham.

About you

You will be confident in using and updating systems such as Smartsheets, spreadsheets and dashboards, to capture and convey information. You will have experience of using such systems in a project management or reporting context, to track progress and make plans. You will be comfortable working with financial information and budgets, and will have the ability to process information accurately.

You will have experience of managing an office setting, providing admin and logistical support to wider teams as part of that. You will have experience of handling enquiries from the public, as well as from colleagues and partners, and will bring your knowledge of customer service skills to this role. You will be able to provide effective line management to a small admin team.

You will have the skills to provide PA support to senior managers, and bring excellent organisational and interpersonal skills to this task. You will have knowledge of how to prioritise tasks and will be proactive in resolving enquiries and finding solutions.
