The Opportunity

This is a great opportunity to be part of a great workstream and a friendly team. You will be able to gain insight into consultancy world by exposure to a range of projects we deliver. This role is to assist the company in the planning, set-up and delivery of its Evidence workstream programme and in field-based data collection projects. This role provides a good opportunity for someone who has excellent administrative and people skills, but is also practical, and enjoys working in a busy office environment in the consultancy sector. The role comes with a permanent contract for 37.5 hours per week, five weeks holiday per year, plus Bank Holidays.

What you will be doing

Data gathering field work set up and resource planning:

  • Recruitment of casual employees (from our casual employee bank or externally) and booking appropriate employees to work on projects as directed by Project Managers
  • Keeping training records for casual employees (job specific and Health and Safety)
  • Booking and arranging delivery, collection, parking and storage of appropriate vehicles as required
  • Booking and keeping records of all aspects of the work as required (e. g. accommodation for employees, PPE, phones and subsistence payments)
  • Preparation of the site files, any other information and equipment as required for the successful delivery of the project
  • Being available out of office hours to oversee/meet teams doing fieldwork (this is normally on Sunday afternoons, with regular Sunday working at busy times).
  • Occasionally undertaking site/remote work as appropriate (includes working on data collection projects and waste analysis)
  • Driving 3.5 tonne long-wheeled base transit vans as required
  • Maintaining project management systems (e.g. Gantt Charts to manage casual workforce and vehicles)
  • Drafting and circulating newsletters and other communications for casual employees

Contract delivery:

  • Assisting Project Managers with sample selection and preparation of household/street lists for data collection project
  • Liaison with clients to ensure necessary operational set-up information is secured (for example street lists or site access rules)
  • Assisting with processing of collected data for analysis
  • Assisting with oversight of agency employees engaged on data processing and analysis
  • Assisting with desk-based research (internet searches, literature reviews)
  • Assisting with preparation of tender documents (filling, collation of documents and other administrative tasks)
  • Assisting with preparation of reports (including proof reading and formatting)

Company resources:

  • Ensuring that hire vehicle records are compliant with National Motor Insurance Database requirements
  • Management of the company’s vehicle (3.5 tonne long-wheeled base transit van)
  • Manage stocks of equipment and consumables, as well as PPE (Personal Protective Equipment), ensuring stocks are adequate for requirements
  • Ensure equipment is maintained and maintenance certificates updated as appropriate
  • Ensure our storage unit containing all field work equipment is maintained and kept in good order (this will include manual handling to move equipment), as well as keeping records of who is responsible for equipment given out

Administration:

  • Management and development of the company’s casual employee databases and other systems
  • Ensuring that driving license records for designated drivers (permanent and casual employees) are regularly updated
  • Maintaining a record of vehicle incidents and damage
  • Assisting with administering the company’s tender tracker daily and registering suitable opportunities on the Project Management Portal; circulating clarifications and other correspondence received in respect of tenders
  • General administration and filing
