FoodSync Business Support 

Location: Manchester office base, with travel as required.

Salary: 30 hours per week £14,508 (£18,135 pro rata)

FoodSync is a small, vibrant, dedicated and passionate organisation recognised for being impact driven and innovative in driving food system change and enhancing the role food plays in placemaking. We are looking for Business Support providing administrative and project support to the FoodSync team, our clients and their stakeholders. 

FoodSync predominantly provides consultancy but also offers services and products. The nature of the work is always different and can be challenging due to the complexities of the food system and placemaking. We find this environment stimulating and energising and are looking for a team member who will relish this challenge, being both an active collaborator and a self-starter.

The role

Provide support to the FoodSync team with organisation, planning, communications (internal and external), project support, research and analysis. Take responsibility and ownership of office organisation, systems and maintenance, website and social media, compliance and best practice with regard to policies and procedures. 

Job Duties

  • Deliver contract/project support across our analysis, strategic development and implementation functions. This typically will involve research, briefings and report writing.
  • Prepare and deliver reports, produce presentations and develop and maintain a client database.
  • Support the organisation with development and delivery of a marketing and communications plan. Maintain office correspondence, social media (Instagram, Twitter etc.) and website – ensuring the content is fresh, up to date, topical and stimulating to the reader.
  • Organise events and draft press releases.
  • To ensure policies and procedures are up to date and in line with legal and contractual requirements. To develop policies, procedures or tools which ensure compliance and drive best practice.
  • Manage work schedules. Prepare meeting agendas, perform research for meetings, and take minutes during meetings, distribute and follow up on key actions as directed. Communicate with Board Members and brief them accordingly.
  • Manage projects and follow-up with team members / subcontractors / clients where required maintaining a strong working relationship with partners.
  • Handle bookkeeping, payroll, HR, and recruitment duties, including on-boarding new staff members and training employees where necessary.
  • Solve simple IT problems and liaise with the IT contractor where necessary.
  • Maintain the electronic filing system, ensuring processes and software are up to date and in working order
  • Contribute to future strategic planning for FoodSync to enable the organisational growth whilst ensuring the organisation remains sustainable and works in line with its values. 

Skills and Qualifications

  • Educated to degree level or equivalent
  • Experience of providing project support and/or administration to senior executives
  • Knowledge of the food system and an awareness of sustainability
  • Good English language skills
  • Good IT skills, with expertise in Microsoft Word, Excel and PowerPoint and ability to learn or have experience in Wordpress (website platform), Quickbooks (Bookkeeping software), A la Calc (Nutritional Analysis software)
  • Good interpersonal and communication skills
  • Tenacious, self-motivated, highly organised and a strong attention to detail.
  • Ability to work in a small but growing team of diverse working styles.
  • Ability to work under pressure, to agreed deadlines and adapt to change.
  • Ability to produce minutes and draft/edit written documents and correspondence independently
  • Ability to conduct appropriate research and analyse information.
  • Ability to handle confidential and sensitive material.
  • Flexibility to work out of hours as necessary to fulfil the requirements of the role and meet business needs.
