Job Purpose:

To manage volunteer functions (recruitment, training, rotas, communications, retention, etc) of volunteers to support all activities and teams at Secret World, including Animal Care, fundraising, learning, site maintenance, commercial activities, etc.

Specific objectives:

  • Agree and manage set realistic, achievable objectives for volunteer recruitment across Secret World.
  • Further develop the work experience scheme with local and national education providers and other agencies.
  • Support and enable department managers and staff to manage, lead and build a team ethic, incorporating voluntary members.
  • Ensure support and ongoing training are in place for volunteers with the opportunity to progress in terms of responsibilities and knowledge.

Responsible to: Head of Animal Care

Relationships:

The postholder is expected to foster excellent working relationships with Animal Care Services Staff, Volunteers, and supporters. As a member of the Animal Care Team, the postholder is also expected to work inclusively and collaboratively across the organisation with other staff. At all times working within the SWWR Behaviours Framework.

Main Responsibilities:

  1. Agree levels of volunteer cover across 12 months with department managers; timetable and review progress as required.
  2. Achieve targets set for responding to volunteering applications and enquiries via email, phone and face to face.
  3. Generate appropriate volunteering opportunities and role descriptions.
  4. Promote volunteering through SWWR recruitment campaigns across Somerset and Bristol.
  5. Create and maintain the volunteer website pages.
  6. Work with local colleges, universities and agencies across different sectors in order to establish good relationships with regard to the promotion and recruitment of volunteers.
  7. Attend recruitment events – college open days, volunteer fairs etc deliver presentations and promote volunteering and work experience opportunities.
  8. Programme and monitor recruiting volunteers and ensure that they are appropriately matched and trained for a specifc position within SWWR.
  9. Organise rotas and manage changes to volunteer availability.
  10. Record and maintain volunteer information on Donorflex ensuring this is up to date.
  11. Deliver introduction sessions for potential volunteers and induction and training sessions for new volunteers and provide volunteers with information to assist them in their role.
  12. Continually aim to improve the effectiveness and efficiency of the administrative processess for the volunteer programme
  13. Deliver volunteer communications – via emails, facebook, SMS and noticeboards.
  14. Organise volunteer training and social events throughout the year.
  15. Put in place and maintain regular reviews for members of the Volunteering Department.
  16. Have an awareness of budgets and resources.
  17. Raise staff awareness of the role and function of the volunteer.
  18. Liase with departments within SWWR to understand how they work, assessing and updating the specific needs for the role of volunteer required for each department.
  19. Maintain and update legislation with regard to SWWR volunteer policies and procedures.
  20. Attend and manage the Volunteer Consultative Group meetings, organise meeting dates and distribute finalised minutes to staff and volunteers.
  21. Assist department managers with volunteer behavioural matters.
  22. Monitor and evaluate volunteer activities and provide reports for Trustees and partners as and when required.
  23. Keep up to date with volunteer matters on a national basis through external meetings and courses

Person Specification:

Essential:

Working across different sectors and developing links with other agencies

At least two years’ experience of leading staff or volunteer teams in a similar role (including experience of leading, managing and developing teams)

  • Experience of planning and managing budgets
  • Excellent verbal and written communication skills
  • High standard of numeracy and IT skills including Windows packages, etc.
  • Excellent Diary management, organisational skills and an ability to balance and cope with competing priorities
  • Excellent negotiation skills
  • Working knowledge of current GDPR and Health & Safety legislation
  • Strong team working skills to work collaboratively with staff and volunteers to achieve objectives
  • Ability to develop and maintain relationships with external stakeholders
  • Highly motivated, enthusiastic and self-starting
  • Ability to remain calm and work under pressure, to adapt at short notice and manage a diverse workload
  • Excellent customer care skills and able to demonstrate sensitivity with a range of audiences
  • Able to use initiative and display a creative and proactive approach to all areas of work
  • Good time management skills and able to work to tight deadlines
  • Able and willing to support / assist others as necessary with a commitment to deliver a high quality service
  • A creative thinker who pays attention to detail
  • Able and willing to work weekends & evenings to support volunteers and charity events, as required
  • Empathy / understanding of wildlife and conservation
  • Possession of a full / clean UK driving license and own vehicle

Desirable:

  • Working in a small to medium charity environment
  • Experience of planning and /or organising meetings and events
  • Experience of working with Donorflex
  • Voluntary sector experience / working with volunteers
  • Working with young adults

Note:

This job description is not exhaustive and will be reviewed from time to time and amended by mutual agreement. The postholder will receive regular review together with an annual job appraisal with the manager to review progress, job description and performance in post.

Employment Details:

Salary: £ 20,000 per annum,

Contract: Permanent position – IMMEDIATE START

Probation: 3 Month probationary period

Hours: 40 hours per week

Duties will require weekends and evening work, as required

Holidays: 30 days per annum inclusive of bank holidays

Pension: Currently: 4% Employer 4% Employee
