Salary: £17,558 (three days per week), which equates to £29,263 full-time equivalent. In addition, Sustain matches pension contributions up to 5% of gross salary.

Location:  Office-based, Cambridge Heath, London

Part / Full time: Part-time contract for three days per week. Flexible working hours are negotiable, for example spreading the hours over more days.

Sustain is the alliance for better food and farming. It is a campaigning charity that advocates food and agriculture policies and practices that enhance the health and welfare of people and animals, improve the working and living environment, enrich society and culture and promote equity. We represent around 100 national public interest organisations working at international, national, regional and local level.

Sustain is a small and friendly organisation (around 20 staff) working on a variety of positive projects, ranging from encouraging GPs to prescribe gardening to patients with long-term health conditions, through campaigning for healthy and sustainable food in schools and hospitals, through to winning a sugary drinks tax for the benefit of children’s health, and urging decision-makers to use taxpayers’ money to support better fishing and farming practices. The majority of our finance and administration work is currently undertaken by our Finance Team, which consists of our Head of Finance Quoc-anh Tran, supported by this part-time Finance and Administration Officer role. The Finance Team is pivotal to ensuring the smooth running and accountability of the charity Sustain and its projects and campaigns.

We are looking for a well-organised, experienced and committed person to help with our finance and administration work, and who is willing and able to turn their hand to other tasks as they arise. We are looking for someone with a flexible, friendly and collaborative approach to work; preferably also an interest in health and sustainability issues and a sympathy with the campaign sector.

The postholder will work with Quoc-anh and the Sustain management team and project officers on tasks including:

Helping Sustain’s Head of Finance to manage Sustain’s financial and administrative tasks in a well-organised, professional and accountable way that helps Sustain to meet its ethical and charitable objectives:

  • Payments: Preparing and making payments via BACS, cheques, bank cards and petty cash.
  • Income: Preparing income cashsheets and undertaking banking tasks.
  • Sustain membership fees: Preparing and sending out invoices annually and monitoring progress with payments, issuing reminders where necessary.
  • Projects and campaigns: Liaising with project officers to help monitor each project’s income and expenditure level.
  • Accounts: Using our Sage accounts system to post transactions and reconcile bank accounts.
  • Petty cash: Reconciling the petty cash float on a quarterly basis.
  • Suppliers/staff communications: Requesting and querying invoices; logging in to download monthly bills; requesting and processing expense claims.
  • Gift-aid claims: Maintaining gift-aid data and making an annual claim.
  • Bank communications: Contacting Sustain’s bank to address any queries.
  • Financial year-end: Assisting Sustain’s Head of Finance on matters such as reconciling ledgers; data entry from Sage onto year-end spreadsheets; checking debtors/creditors.
  • Other finance-related tasks, such as photocopying, scanning, posting and filing.
  • Office admin: Helping out with office tasks such as ordering supplies; booking meeting rooms; providing sign-in sheets and desk booking system for staff.
  • Volunteers: Helping volunteers claim expenses.
  • Office life: Contributing to the friendly and mutually supportive culture of the Sustain team.
  • Project subscribers: Monitoring and processing income received via the online payment system (currently Paypal) and converting data into our Sustain’s bespoke system, ready for posting into our Sage accounts system.
  • Member relations: Over time, getting to know members of Sustain and key subscribers to our networks, to help Sustain’s management and staff teams cultivate good relationships and membership applications and renewals.
  • Merchandise orders: Helping to manage orders of books and merchandise, which could include handling payments and despatching orders.

Supporting management with administrative tasks and events as required, including:

  • Arranging the catering, venue and ticketing for some of Sustain’s events, and maintaining a central list of suitable event caterers and venues
  • Arranging paper-based and some of Sustain’s email mail-outs
  • Data entry and management
  • Helping with aspects of liaison with Sustain alliance members
  • Helping with administrative aspects of the Sustain staff recruitment process
  • Helping with responses to general enquiries
  • Helping to maintain necessary records for Trustees, patrons and other key people
  • Making sure that Sustain staff and volunteers receive cards on special occasions
  • Ensuring that Sustain’s office risk assessment is up to date
