About us

We investigate and campaign against environmental crime and abuse.

Our undercover investigations expose transnational wildlife crime, with a focus on elephants and tigers, and forest crimes such as illegal logging and deforestation for cash crops like palm oil. We work to safeguard global marine ecosystems by addressing the threats posed by plastic pollution, bycatch and commercial exploitation of whales, dolphins and porpoises. Finally, we reduce the impact of climate change by campaigning to eliminate powerful refrigerant greenhouse gases, exposing related illicit trade and improving energy efficiency in the cooling sector.

About the role

The Officer Administrator is responsible for the efficient and comprehensive administration of the office. The post includes developing, implementing and overseeing internal administrative systems on a day-to-day basis, while acting as first point of contact for the organisation. Key areas covered by the job include: building security, equipment and maintenance contracts, insurance, tracking relevant budgets, responding to public enquiries and basic requests for information, manning the reception area, distributing post and disseminating messages and information, providing support to the ED/CD as required. You will be available to assist other departments, as directed by your line manager.

Organisational matters

Working under the direction of the Head of Operations, the Office Administrator is required to work with considerable autonomy in the day-to-day management and problem-solving of all the areas of responsibility below.

Responsibilities

  • liaise with outside agencies and facilities to ensure the best quality, timely and cost- effective services according to agreed budgets;
  • carry out day-to-day tracking and administration of office administration, insurance and IT budgets under direction of Head of Operations;
  • responsible for petty cash box and reconciliation.
  • reconcile monthly finance reports against budget tracking records, provide budget data to and provide monthly budget expenditure reporting to Head of Operations;
  • plan cost-effective budgets for Office Costs, Insurance and IT budgets;
  • advise Head of Operations on proposals for cost-cutting and investment.

Essential

Knowledge

  • Administrative procedures and front desk/reception manner.
  • MS Office ; Word, Powerpoint and in particular Outlook and Excel
  • Finance reconciliation
  • Budget tracking and planning

Experience

  • Working in a fast-paced busy office, able to change priorities at short notice
  • with public ; face to face, email and via telephone
  • Handling petty cash and reconciliation
  • Dealing with large spreadsheets.
  • At least two years of working in an office environment.
