Background

The British and Irish Association of Zoos and Aquariums (BIAZA) is the professional body for zoos and aquariums throughout Britain and Ireland, representing over 100 members.

BIAZA leads and supports its members and helps to promote the work of good zoos and aquariums. BIAZA believes that the natural world is intrinsically precious and aims to be a powerful force in the care and conservation of the natural world.

Much of the work of BIAZA is carried out on a voluntary basis by the members, through the standing committees and associated workgroups, in line with BIAZA’s strategy. The BIAZA office is responsible for the day to day running of the association, coordinating and facilitating the work of the standing committees. The BIAZA office is a small but highly effective team covering a diverse range of duties. As such the team spirit and cooperative work ethic of the office staff is a vital component for achieving our goals.

Job Description

BIAZA is a membership association dependant on the fees from the members for financial support. The Financial Controller (FC) will be responsible for the efficient operation of the finances of BIAZA and assist in the operation of the office.

This role will report directly to the CEO. The FC will work closely with the Communications and Membership Manager (CMM) to undertake the financial processing of both annual membership fees and the registration of new members. The FC will work closely with the CEO for the day to day financial management of the organisation, and with the BIAZA Treasurer and BIAZA Finance and Resources Committee to ensure accurate monitoring of spend and financial development of the Association, including budgeting processes. The FC will work closely with the external auditor to assist in the production of Annual Reports and ensure our financial compliance with Charity Law.

The FC will support the office in the achievements of other objectives, including event organisation and other membership services.

Responsibilities

Account Maintenance

  • To operate effective record keeping of financial information concerning the Association
  • To manage the day to day financial activities of the Association and prepare bank payments for the CEO’s authorisation
  • To raise invoices for BIAZA’s services and goods ensuring that all invoices are paid in accordance with BIAZA’s Terms & Conditions, and to take appropriate action when not
  • To prepare the staff pay role for processing
  • To ensure that all suppliers and statutory bodies are paid when due, with the CEO’s approval
  • To prepare the quarterly management accounts and support the Treasurer and CEO in the presentation of accounts to the Finance and Resources group, and subsequently to Council
  • To prepare the quarterly VAT returns and EC Sales List
  • To prepare year-end documents for the Auditor, and assist with auditing and Annual Reporting processes
  • To assist the CEO in the preparation of the annual budget for presentation to the Finance and Resources group, and subsequently to Council
  • To work with the CEO to monitor and update personnel files in compliance with GDPR and in line with the staff handbook
  • To review BIAZA procedures with regard to membership invoicing and payment

Membership:

  • To support the CMM in the effective management of the membership though efficient processing on annual membership fees and the registration of new members
  • To support the CMM in achieving effective management of the advertising opportunities provided for BIAZA members and non-members through our quarterly magazine, annual report and other publications.

Event Management

  • To support the CMM in coordinating meetings, AGMs, conferences and events, working closely with the CEO, Council, Committees and host institutions.

Campaigns

  • To support the BIAZA team in the coordination of BIAZA’s campaigns and partnerships with regard to financial aspects.

Office Management

  • To ensure sufficient supplies of office stationery and consumables are available at all times.
  • To maintain and organise the servicing of office equipment.
  • To assist when practically possible with mail-outs and other activities to ensure the functioning of a dynamic BIAZA team.

Working Arrangements

The position of Financial Controller is a part-time post working two days a week, based at the BIAZA offices in ZSL London Zoo. There will be some weekend and out of hours work as required, for example, at conference and events. There is a holiday allowance of 10 days a year. An initial one year contract is offered, with a three month probationary period. The salary offered is competitive (£12,000 to £15,000 pa including London weighting dependant on skills) with regard to the scope and responsibilities of the position and the sector in which the role is based.

Personal Specifications

BIAZA is a small team working to progress the mission and objectives of the Association. The successful applicant must be a good communicator, have a dynamic nature and strong teamwork skills. The successful applicant should be prepared to undertake occasional travel to the membership and meetings, including visits around member sites.

Required skills

  • University degree, or equivalent higher education qualification, coupled with at least 2 years work experience
  • Proven IT skills, a knowledge of Sage is imperative
  • Experience with the day to day management of the financial aspects of a charity or association
  • Experience in preparation of Annual Reports and auditing procedures
  • Fluency in both written and spoken English
  • Proven ability to work effectively to deadlines and juggle multiple tasks

Preferred skills

  • Experience of working for or with a membership based association
  • Driving licence
  • Experience of the financial components of event management and/or campaign management
  • Experience of the zoo and aquarium community
  • Experience of payroll
