OVERVIEW

Earthwatch is recruiting for a Programme Coordinator to support the delivery of our corporate partnerships. We work with companies who want to improve their impact on the environment and take the action necessary for a sustainable planet. We help businesses nurture sustainability leaders, build resilience and connect with the natural world to make a meaningful contribution to vital environmental and social issues. Over the past two decades we have partnered with some of the world’s biggest blue-chip companies, including HSBC, Shell, Mitsubishi Corporation, Rio Tinto, Kraft Foods, Ernst & Young, and Microsoft.

Can you make sure that our participants are fully prepared for the programmes they join? Can you help us to capture our participants’ experiences and learn from them? Could you work with partners, scientists, participants and associates, organise a travel schedule, support logistics, answer queries, organise and document meetings, ensure accurate and timely data entry, work on documents and processes, and more? Want to work in a busy, friendly, supportive team, with lots of cake?

Our ideal candidate is an exceptional organiser who can work collaboratively with others to get things done, able to work flexibly to meet changing demands and still pay attention to detail. You will be experienced in dealing with a wide range of clientele‚ confident in multitasking and prioritising and committed to providing excellent customer service. Experience of working in an NGO or corporate environment would be beneficial.

RESPONSIBILITIES

Role purpose:

To provide administrative support to ensure the effective delivery of corporate programmes

Key deliverables:

  • Keep the CRM database up to date to ensure we have a first class relationship management system
  • Support the development and tracking of project timelines for assigned programmes
  • Prepare participants to take part in Earthwatch teams across assigned programmes; screen participant forms; deliver high quality customer service & participant stewardship
  • Ensure that a comprehensive filing and information management system is in place and maintained for the teams, to enable collaborative working and efficient information sharing
  • Develop, update and format communications and learning materials using standard programme templates
  • Maintain excellent communications with assigned contacts in partner organisations
  • Schedule external appointments, internal (Earthwatch) meetings and teleconferences - coordinating and communicating diaries and events with relevant staff
  • Manage papers and agendas for meetings, take notes and minutes and support the development of PowerPoint presentations / reports
  • Prepare invoices and support financial management of the programmes
  • Support the arrangement of domestic and international travel plans & expense claims
  • Document processes and prepare training materials to ensure global consistency
  • Support the implementation and testing of an online participant management system
  • Support the effective relationship management of key contractors and suppliers to ensure required documentation (e.g. standard contracts) is in place for programme delivery
  • Ensure evaluation processes are followed consistently for all programmes and that impact tracking documents are updated
  • Support the preparation of in-field resource packs (stationary, print-outs etc) and logistics
  • Provide support to the wider organisation as required

REQUIREMENTS

Person specification:

  • Excellent planning and organisation skills –able to multi task, work well under pressure, and do not need to be asked to do something twice
  • A pro-active self-starter who works on their own initiative: able to resolve issues and provide solutions and judge where issues need referring
  • Committed to customer care and responsiveness
  • Excellent written and verbal communication‚ perfect grammar and attention to detail
  • Intermediate/advanced IT skills: Outlook, Word, Excel and PowerPoint
  • Proven ability to deliver to agreed deadlines
  • Previous work experience in administrative positions or other work experience within an office environment
  • Commitment to the mission and values of Earthwatch
  • Basic French language skills

Desirable

  • Experience of developing communications for a corporate audience
  • Experience of working in an NGO and/or corporate environment
